The short answer
A knowledge assistant depends on the information he can consult. Choose reliable sources, respect access and make visible when information is missing or uncertain.
Choose a defined knowledge question
For example, start with internal work instructions for one department. A collection of all company files often contains conflicting versions and information without a clear owner. A smaller, well-managed bronze set makes evaluation clearer.
Point owners of the information to
Record who keeps documents up to date and how outdated information is deleted or replaced. Make a distinction between a current procedure and an outdated draft. The AI application cannot resolve defective information management automatically.
Show on which an answer is based
Allow users to go to the used source where possible. Check that that link really supports the answer and that the user may open the source. Also draft a clear response to questions for which insufficient information is available.
Test with practical questions
Collect normal questions, difficult exceptions and questions the assistant should not answer. Review accuracy, source usage and access limits. JViT helps connect the technical implementation to information management, so users know when to build on the answer and when to ask.
